External Relations Manager

Warrior Canine Connection – Boyds, MD

The External Relations Manager is an integral member of the development and communications team with a wide range of responsibilities. The position works cross-functionally to support various departments, including communications, development, events and volunteer activities, and dog programs. Reporting to the Director of Development, the External Relations Manager has responsibility for WCC’s communications activities, management of the organization’s volunteer program, and WCC community outreach events. This position will work closely with Development and Communications team on the creation and implementation or marketing, public relations, and community outreach plans. Duties also include developing relationships with businesses, individuals and organizations interested in supporting or sponsoring WCC events and activities. 

Duties and Responsibilities

Communications Management: 

  • Overall supervision of Communications activities; general supervisory responsibility related to Media & Public Relations Officer, Social Media Specialist, Digital Communications Specialist, and Volunteer Coordinator.
  • Assist with the evaluation, revision and implementation of WCC’s Communications strategies.
  • Responsible for organization’s branding and brand support both internally and externally.
  • Oversee design, production and execution of print collateral material to include coordination with outside vendors. Provide graphic design support as needed. 
  • Creation of all WCC e-blasts and email marketing, refining template as necessary; source photography, edit content submissions from internal and external contributors; maintain mailing list, track activity related to the newsletter. 
  • Maintain and updated mailing and contact lists and assist with related Salesforce integration. 
  • Responsible for data related to KPIs, as assigned, in conjunction with overall WCC KPI reporting efforts; update spreadsheet on a regular basis.
  • Oversee design and maintenance of the WCC website. Coordinate with Digital Communications Specialist on website redesign and troubleshooting as needed. Coordinate with Media & Public Relations Officer other department team members regarding content development. 
  • Working with Media & Public Relations Officer, coordinate all media engagement to include interviews with organization’s subject matter experts. 
  • Assist in strategic direction and development/refinement of all communications specific to the Puppy Parent Program, including recruitment, site-specific materials, manuals, etc. 
  • Assist with coordinating communications plans for official WCC events such as graduations, conferences, major fundraisers, and other appearances. Create, implement and track all promotional efforts in support of events. 
  • Coordinate with and support WCC Development staff, as assigned, to cultivate on-going relationships with corporate partners, foundations, and individual donors including development of communications vehicles to keep them informed of significant news and milestones. 
  • Responsible for production/printing of WCC marketing materials and giveaways.
  • Coordinate and oversee the efforts of outside communications professionals, as assigned. 
  • Maintain central repository of print and digital marketing collateral used by WCC. 
  • Responsible for the development and fulfillment of the communications budget. 
  • Other duties as assigned. 

Events and Volunteer Management: 

  • Planning, implementation and follow-up for all community events and annual receptions. 
  • Coordinate event logistics, publicity, including public relations, advertising and collateral material design, production and distribution. 
  • Responsible for the development and fulfillment of events and volunteer program budget. 
  • Assist the Director of Development in other fundraising programs as necessary. 
  • Develop and maintain event and volunteer databases in Salesforce CRM. 
  • Manage volunteer committees and volunteer coordination, including but not limited to, staffing, recruitment, supervision, training and acknowledgement. 
  • Maintain a roster of all volunteers in Salesforce. Track and prepare reports regarding individual and group volunteer hours of service. 
  • Support WCC staff to develop and implement Volunteer Orientation and Training programs to support their areas. 
  • Oversee and support other WCC staff members who will provide direct supervision for volunteers. 
  • Other duties as assigned. 

Required experience, skills, background

  • B.A. or B.S. degree in a marketing or communications field is a minimum requirement; extensive experience may supplement or supersede this requirement. 
  • Strong goal-orientation and ability to achieve results in a fast-paced team environment, with limited daily direction and oversight. Must show high productivity in an organization with many priorities. 
  • Demonstrated record of success in executing multi-channel communications strategy. 
  • Ability to understand and enthusiastically articulate the goals and vision of the organization. 
  • Record of success in using constituent data and analytics to drive data-driven strategy. 
  • Proven ability to prioritize prospects, projects, time, and interests with ease. 
  • Creative problem solver with experience using a wide range of resources to accomplish complicated tasks and goals. 
  • Articulate speaker and writer. Personable and poised, with an ability to work with a variety of personalities, backgrounds, experiences, and expectations. Active listening skills and ability to apply them to the activities of fundraising. 
  • Projects a professional image.
  • Ability to build a team and collaborate with area specialists to effectively execute on print and digital campaigns. 
  • Proficiency with Microsoft Office, Adobe Creative Suite, and email marketing platforms.
  • Experience and/or comfort working in a virtual environment.
  • Commitment to the highest standards of professionalism. 

Desired experience, skills, background

  • Management/supervisory experience preferred.
  • Strong familiarity with the military community.
  • Experience with Salesforce or similar Customer Relationship Management (CRM) systems.
  • Familiarity with electronic file sharing applications.
